Work schedule: day shift; eastern standard timeE-discovery experience requiredThe Associate Director, Client Services ("Associate Director") position directly manages either all or a portion of a project management team ("pod") comprised of Senior Project Managers, Project Managers, Associate Project Managers, and Discovery Analysts. This is a working manager with billable targets that is required to balance account management responsibilities, project management tasks and people management activities.Daily tasks include balancing workload between pod members, mentoring and developing talent, consulting with clients to improve their experience with Lighthouse and identifying opportunities to use innovative technologies to drive down client costs. Associate Directors are also responsible for driving the development of workflow standards, ensuring client budgets are met, and ensuring accuracy of client billing.Associate Directors are expected to facilitate Lighthouse's goal of maintaining a high level of client satisfaction, to ensure client facing error rates are kept below industry and Lighthouse standards, and to ensure delivery deadlines are consistently met. Success relies heavily on the ability to manage multiple tasks across multiple matters and clients, either independently or at the direction of a pod Director, and to work effectively with leaders across operational teams.Associate Directors must foster a collaborative and positive work environment, successfully develop future leaders and contributors, exemplify a consultative approach with clients and communicate, set, and maintain clear expectations for pod members.What You'll Do:* Develop a thorough understanding of Lighthouse workflows, critical paths needed to progress work through the system and tools used by Lighthouse to manage workflows* Manage directly or indirectly clients and projects assigned to the pod and delegate key stakeholders to ensure proper project management tasks and workflows are completed* Communicate expectations for scope and deadlines to internal and external stakeholders* Establish informed project schedules based on a solid understanding of project activities, sequences of events, dependencies, work effort, duration of tasks across departments, and associated resource requirements based upon the complexity of work and the size of the queue* Delegate work to Senior Project Managers, Project Managers, Associate Project Managers, and Discovery Analysts, reaching across pods to utilize available resources to meet deadlines and maintain utilization rates for the department as necessary* Draft and manage or participate in project management tasks including SOW creation, kick-off call preparation and completion, and documentation of workflows, standards and project closure tasks such as final billing and data destruction as needed* Participate in monthly billing reviews and forecasting meetings* Participate in and allocate personnel for process improvement initiatives as identified by Client Services and company leadership• Ensure quality, accuracy and timeliness of all aspects of implementation* Train and develop team member to advance their careers and/or skills* Manage pod member schedules to ensure client needs are met, while preserving pod member work-life balance* Ensure remote team members are effectively managed and actively engaged* Participate in all managerial duties as identified by the company including 1:1 meetings, mid-year and annual employee reviews* Maintain a deep understanding of e-discovery, market competitors and the tools used to support the industry* This position has a billable target of 805 billable hours per year once training is completed (35% utilization based on 2,300 worked hours annually).What You'll Need:* Able to work day shift (eastern standard time)* At least eight years of work experience with at least five years of ediscovery project management experience* At least two years of management experience in a service industry* Experience managing remote employees a plus* Bachelor's degree (Masters or JD a plus)* Strong analytical and logical skills* Ability to solve problems and deal with a variety of variables in situations where only limited standards exist* Effective written and oral communication skills including having the ability to deal with difficult situations and manage conflicts to successful resolution* Outstanding organizational skills and the ability to multitask* Strong project management skills, including the ability to interpret a variety of instructions provided in written or oral form* Ability to work within timeline and budget parameters* Ability to delegate tasks to appropriate inter-department team members and ability to load balance when workloads exceed a team's or person's capacity* Flexibility and adaptability to handle a changing and growing workload* Ability to assess when team members are struggling to manage change or workload and to create solutions that address those struggles* Ability to foster positive and professional relationships at all levels internally and externallyDirect Reports:This position reports either directly to the Client Services department head or to a pod Director and has Senior Project Managers, Project Managers, Associate Project Managers, and Discovery Analysts reporting to them.Lighthouse participates in E-Verify and will provide the federal government with your Form I-9 information to confirm that you are authorized to work in the U.S. E-Verify is an Internet-based system that compares information from your Form I-9, Employment Eligibility Verification, to Department of Homeland Security (DHS), Social Security Administration (SSA), and Department of State (DOS) records to confirm that you are authorized to work in the United States.
