The Executive Assistant (EA) for Policy provides executive level support for the Vice President for Policy. The EA will provide comprehensive administrative support by using their own judgment and discretion. The EA must have a strong interest in issues affecting research universities, science and science policy, and higher education. Previous experience working in an administrative or EA position for a non-profit, university, or in a higher education related organization is a plus.
The EA is responsible for maintaining a working knowledge and understanding of supervisor’s issues to answer inquiries and prioritize meetings. The EA will interact and respond to requests from other AAU staff and internal and external constituents. Tasks include calendar management, organizing internal meetings, e-mail review and management, complex travel arrangements, managing and supporting supervisor’s/department’s teleconferences, webinars, and virtual meetings by utilizing features of Zoom. Applicants with experience managing supervisor’s email, strong technical skills in Microsoft Office and web conference technology (like Zoom) are required.
The EA drafts, prepares, and distributes correspondence and documents including creating initial drafts, proofing, editing, formatting and regularly sends communications through AAU’s mass email system (Marketing Cloud). The EA will edit and proof content, posts appropriate content on AAU’s website, ensures member contact information is up to date in AAU’s association management system (AMS), and send the communications out in a timely manner. Applicants with experience using mass email communication tools and website content management and association management systems are required.
The EA serves as the lead administrative assistant supporting the activities of the policy department. The EA serves as the primary administrative liaison with the federal relations and public affairs departments. The EA helps plan meetings and webinars and has specific coordination and communication responsibilities relating to the VP’s issue portfolio.Applicants should be proactive and detail-oriented; have excellent administrative, organizational, writing, and editing skills; and be able to work on multiple items while under pressure with competing priorities and deadlines.
