Fast-paced corporate meeting planning and incentive travel company is looking for a talented individual to join our team. This individual will perform a variety of routine clerical and administrative duties supporting a team of Meeting Planners, including building websites and managing attendee registration using Cvent. This person will also design and generate registration-related communications, invitations, reports, etc. on behalf of our clients for incentive trips, business meetings, and special events. Assist with various tasks contributing to the overall organization of incentives, meetings and events, keeps department on task according to assignments and meeting deadlines.
Website development and maintenance, email invitation management, master list/data management, rooming list/hotel management, attendee communication and follow-up, mobile event app coordination, reporting, and administrative support, using Cvent registration software.
Design and order banners, signage, printed material and branded promotional items.
Manage, maintain inventory, order meeting supplies, order/print name badges, marketing materials and other onsite documentation.
Packing, shipping and tracking materials for various client events.
Provide administrative meeting support e.g. event set-up, registration, preparation & packing of materials and reconciliation for various client events.
Communicate regularly with clients both verbally and in writing.
Answer and field phone calls for all client accounts.
Provide onsite event support as needed.
DESIRED EXPERIENCE AND QUALIFICATIONS:
College Degree and/or previous experience with strong interest in event planning
Strong computer skills especially Microsoft Excel, Word, Outlook and Adobe Photoshop
Experience managing attendee registration and website creation, Cvent preferred
Excellent organizational and project management skills
Ability to work under pressure and maintain a high level of internal and external customer satisfaction while managing constant changes and multiple priorities
Excellent verbal and written communication skills
Familiarity with mail merges
Attention to detail
Problem solving skills
Ability to provide outstanding client service at all times, including under tight deadlines
Comfort level and professionalism to work directly with VIP client contacts
Managed attendee registration and website creation.
Excellent interpersonal, written and oral communications skills
Ability and willingness to work both independently and as part of a team
Professional demeanor when interacting with fellow staff, clients and vendors
Work on-site at events as needed; overnight and weekend travel may be required
